Application Process

This is an overview of the total application process. This process should ideally commence two weeks prior to Dr. Lytle's initial call for applications and should complete approximately two weeks after

  1. Determine which projects need recruitment
    • Solicit new projects from faculty
    • Assess team retention with survey
    • Update both application surveys with new project list and submit updated project descriptions to Dr. Lytle with links to the initial application survey
  2. Review initial applications:
    • Review applications received prior to call for new applications first
    • Review other applications as they are received
    • Send “Advanced” application to all applicants with valid applications
  3. Review Advanced Applications:
    • Assign projects to reviewers (Reviewers are typically CLEAR advisors and select admin)
    • Each reviewer will evaluate applications based on a combination of the effort and ideas shown in their proposal as well as academic and other experience (in that order of precedence)
      • Extra consideration will be given to students who have taken Dr. Lytle’s Introduction to Research course or have shown preference in a less popular project
    • Slightly more students than needed will be identified to be selected for HAAG to preempt attrition
  4. Send out acceptances
    • Track student responses to acceptances compared to number of students for each team
    • If not enough of certain teams are accepting their offer, review advanced applications for suitable extra candidates and consider “poaching” from other teams if student has indicated interest in more than one project

Onboarding Process

This is the current process for onboarding, mostly related to registration

Course Registration

Faculty Instruction:

OMSCS students who are interested in research may request to enroll in (and pay the tuition for) the three (3) credit course, CS 8903 Special Problems. There is no compensation for research — students only can earn academic credit. However, please note that students only can apply three (3) credits of CS 8903 to their OMSCS degree as “free” elective credit. They are eligible to take the course more than once, but any additional CS 8903 credits cannot be counted toward the degree and simply would be extra credits earned. You may find additional information under Program Rules & Program Options online at https://www.cc.gatech.edu/degree-programs/master-science-computer-science. Students must find a College of Computing faculty member who is willing to oversee this research.

Each credit hour must represent at least 50-60 hours of work by the student.

To obtain permission (a permit) to register for CS 8903 Special Problems, students must submit the “CS/CSE Special Problems” form. To submit the form, please use the DocuSign version and follow the instructions below:

'''SIGNING ORDER:'''

  • Student: “Needs to Sign” (enter student’s email address)
  • Faculty: “Needs to Sign” (enter your Supervising CoC Faculty member’s email address == Dr. Lytle for Spring2025)
  • Advisor: “Receives a Copy” (enter your OMSCS advisor’s direct email, NOT oms-advising@cc.gatech.edu)
  • Administration: Rebecca Wilson (Pre-filled – do NOT change)

Spring 2025 OMSCS Advisors Reference

Note: The form itself acts as a request for a permit and/or for the CRN to be created for the section of CS/CSE 8903 for your research advisor (if there is not one created already). If your faculty advisor does not yet have an active section in OSCAR available for your campus (“Online”) for your desired semester, please fill in the “CRN Section” as “00000”.

  • Edit the “Email Subject” to include your first and last name [Last name, First name].
  • Click SEND.
  • You, the student, will be the first recipient of the form in DocuSign. Complete the necessary fields and when finished, click FINISH. The form will be routed automatically to other recipients to review and sign. Once completed, all recipients receive the signed and completed form via email. You can check the progress of the form in your DocuSign account. If your request is approved and a permit has been issued, you will receive an email with the course CRN and instructions for how to register.

The instructions should read something similar to the below statement: “You have been issued a permit for a restricted course. You must still register for the course prior to the end of registration. Log into the Registration Menu in OSCAR and go to the Add/Drop Classes option. Type the five-digit Course Registration Number (CRN) of the course at the end of this message and submit. Please do not use the “Look-up classes” option to attempt to add this course. Be sure to verify that you have received the correct permit, check for any registration errors, and print a copy of your schedule.”

'''⚠️ ADJUST YOUR CREDIT HOURS TO DESIRED'''

When registering, please remember that CS/CSE 8903 is a variable-hour course, and OSCAR defaults it to one (1) credit hour. To change your credit hours:

  • Log into BuzzPort.
  • On the Home tab, locate the “Registration and Student Services” channel and select “Secure Accesss Login”.
  • Select “Registration” tab.
  • Select “Register for Classes”.
  • Select “Add/Drop Classes”.
  • Select the correct term.
  • Add the necessary course.
  • Select “Schedule and Options”.
  • Courses with variable-credit hours will display an underlined number in the “Hours” column.
  • Click on the underlined number of the course to update.
  • Enter the desired number of hours.

This must be completed prior to the end of Phase II registration.

Course Assignments

Weekly Research Log

Researchers taking HAAG for course credit will submit weekly PDF reports via Basecamp at '''5pm ET''' on Friday. This is an individual assignment. Computational advisors will be asked to review their researchers’ reports as well.

Weekly reports provide an opportunity for students to reflect on work completed, document the progress made that week, and signal for help. It's a way to apply structure to the unstructured.

Most researchers are required to submit a "Full" report. If you are supposed to submit a "Simplified" report, the instructor or Head TA will let your group know.

Report Templates

Submitting Reports

Reports are submitted via Slack

Once your files are submitted, double-check to make sure they are correct. It is your responsibility to verify you have submitted your reports properly and by 5pm ET every week!

Please remember to include your name OR Georgia Tech ID in your submission filename. Also, please include the date or the week the report is for in the filename. As an example: "gburdell3_haag_lizardcv_week2.pdf"

Report Feedback

Every week, the Computational Advisors will review student reports. When feedback is provided, students should receive an email via Basecamp that new feedback is available for review.

FAQ

  • Q: What naming convention to use for first report, in case it is submitted in week two?
    • A: Use week_2 for file name.

PACE ICE Access

Basic instructions for PACE ICE access:

'''The GT VPN must be configured to access PACE ICE if off campus!'''
