Role motivation

women++ wants to ensure that deploy(impact)'s participants have enough resources/ support that allows them to learn and develop their skills in tech further. Mentors include volunteers coming from the different sponsoring companies as well as the women++ community.

Role Description

Mentors help participants with their projects on a weekly basis, bringing expertise particularly relevant to the process of an agile tech development program within their own areas of expertise. These competencies include the following roles assigned to participants.

Mentorship support

Minimum of 1hr/week for 6 weeks from September 23 (Opening ceremony) till November 4 (Project presentations & Award ceremony)

The mentoring can take place in several forms:

👥 1/2 Collective session

In every sprint, participants will find a collective workshop with a specific topic relevant to the development of the solution in the program's calendar (TBC). All teams will be invited to take part. A mentor(s) specialized in the topic will hold the session.

📓Workshop format:

Format: These sessions will usually start with a presentation of the topic followed by a Q&A session so that participants can interact and get their questions solved.

When: Mentors interested in holding collective workshops can do so from Monday to Thursday.

Times: Based on the mentor's availability, we recommend after working hours (starting at any time from 17 to 19).

Duration: These remote sessions usually last 1 to 2 hrs, depending on the topic.

Set-up: Before the program kicks off (Sep 23), mentors will agree with women++ on the workshop topic and sprint they wish to cover, in order to schedule them in advance in the program's calendar (see example from the 2022 calendar). women++ will be in charge of setting up the workshop virtual link (google meet) and invite participants via the calendar. The mentor will receive a google meet invitation to their calendar to block the time in advance.

Example of a previous edition workshop:

In 2022 a project requirement included ML functionalities, so one of the sponsoring companies suggested a mentor to hold a workshop on "Natural Language Processing (NLP)". The project would benefit from the following topics, which were covered during the workshop on sprint 3/6:

  • Document classification and tagging

  • Document similarity and deduplication

  • Summarization

  • Translation

💬 2/3 Slack channels for ad hoc mentorship support

Participants and mentors will be part of deploy(impact)'s slack workspace as the main communication channel.

When participants have any questions about a specific topic, they can submit them through the relevant channel via this form (please create a copy for each different topic you need help with ). Experienced mentors on the topic will be added to the channel and will be able to follow up on a rolling basis. The mentor available to support will respond to the inquiry and follow up. The different topics/slack channels available to request support:

IMPORTANT! Availability to meet with a mentor: participants will fill in the form above to request support and share it via the relevant slack channel. If the request is relevant to your expertise and you are willing to help, you can decide how you prefer to follow up. It can be directly via slack or scheduling a 30min to 1hr video call. When you schedule a video call, please set up directly with the participant/team the date and time when you are all available and the meeting link you will use.

We suggest using teamup to schedule the session inside deploy(impact)'s calendar via TeamUp. This will allow you to share it with other teams that might have the same questions you will cover.

💬 3/3 Mentoring 1 assigned team from project kick-off to project pitch.

The mentor is assigned to 1 team starting with the first sprint planning during the on-site project kick-off (Sep 23). The mentor and team can decide the way they can follow up throughout the 6 weeks. For example, setting up recurrent sprint reviews after the team has planned their sprint and they might have open questions. It is up to the mentor to offer in-depth technical support or simply guide participants to the right support, for example, additional resources, other mentors, the women++ team, etc.

Note: This mentorship modality doesn't demand supporting teams hands-on in all areas of product development, but to advise teams throughout their process (sharing their experience). The teams will be the ones doing the hands-on development, mentors can support them with feedback, giving them the right guidance into the next steps, and solving specific blockages during their progress in the 6 weeks.

⏳ How to use TeamUp

General Information

This year we are going TeamUp as a tool to manage the events or simply schedule meetings.

There are five different calendars:

  • Mentors > Workshops: This calendar brings together all the collective workshops in which teams can participate.
  • General events: Get Together, Opening and Closing Ceremony
  • Mentors > Individual Sessions: Mentors will use this calendar to create the necessary meetings to support the various teams.
  • Participants > Learning Lunch: This timetable will be used by participants to schedule times for sharing knowledge with other participants. Preferably during the lunch break and lasting about 30 minutes.
  • ProJuventute > Collective Sessions / Individual Sessions: Those are the calendars with all scheduled sessions with project owners or users.
  • ** PowerCoders & Women++ > Collective Sessions / Individual Sessions**: Those are the calendars with all scheduled sessions with project owners or users.

Create an event

In order to create a meeting with the teams asking for support, you can use this link

  • Simply schedule a meeting inside of Teamup (you can choose to set up different events or simply the one decided with the team)
  • Remember to click the "options" button inside the event in order to enable the "Sign Up" option. In this way, participants will have the chance to register.
  • Also remember to add your preferred video conferencing link in order to create the meeting.
  • Once you have the meeting set up on TeamUp, share it via the same slack channel where the help was requested. This way, other participants might join and learn from your session.
